Questions event directors ask

Data & privacy

What happens to participant data?

It stays yours. We use it only for the debrief you ordered. We do not sell it or contact participants about other organisers.

What is your role under GDPR?

It depends on the product. For Finisher Feedback invitations and answers we act on your behalf (processor), and you remain responsible for your event's data. For the public comments we read for Social Debrief, we decide what they are used for and we are responsible for that processing.

Do you show the commenter's name?

We do not show the commenter's name. The complete report shows the text of the comments and a link to the original post on the social network, where the comments are public.

Can participants request deletion?

Yes. Anyone who answered or commented can ask for their data to be deleted by email: support@sportingscouter.com.

Which answers count in the debrief?

There are three ways to collect answers: invitations sent to your list (each with a personal link), unique links, and a public link or QR code. The report says how each answer arrived.

Do you use data for marketing?

No cross-event marketing. Participants receive invite and reminder emails for your event only.

Comments and free report

What if there are not enough comments?

The free report needs at least 15 comments and 4 themes with 3 or more comments each. If there are not enough, the report is not generated and we tell you.

Is this the same as reading Facebook?

The difference is the count. On Facebook you read comment by comment and are left with an impression. Here you see how many comments mention each theme and what came up most, in order.

Is this the same as feedback from my participants?

No. These are public comments from people who chose to write, and not all of them took part. The counts show what was said most, not what most participants think. For that there is Finisher Feedback.

Operations

What CSV format do you accept?

Columns: email and bib number (optional first_name, last_name, language). Maximum file size 2 MB.

How long is an invite link valid?

Invite tokens expire after 30 days.

Is there a daily send limit?

Yes. Each organiser account can send up to 200 invites per day (create plus resend combined).

Do you send reminders automatically?

Participants receive up to two reminder emails (after 3 and 10 days) if they have not responded. You can also collect answers by public link or QR code.

What dimensions appear in the debrief?

Seven categories plus overall: communication, provisions, assistance, merchandise, fairplay, sustainability, security.

Billing

Do I pay for people who do not answer?

Yes: you pay for each finisher you invite, not for the answers. 500 invitations are included in each edition; after that, +100 invitations for €30.

Do I pay a monthly fee?

No. Every product is a one-time payment: per edition for Social Debrief (€59) and Finisher Feedback (€149), per year per event for the widget (€49, no automatic renewal).

Can I see the cost before paying?

Yes. Checkout shows the price before you confirm. Prices exclude VAT. The VAT due is the VAT shown on the invoice.

Where do I pay?

In your organiser dashboard, when you buy a product. Creating an account and requesting the free Social Debrief report are free and need no card.
